Phase: Ending Phase (Post-Event Reflection & Documentation)

Author: Tan Wei Feng, Project Secretary, Event Planning and Management Manager

Reflecting on the Full Journey

What started as a tentative conversation in FCSIT back in early April has officially come to a close. Over the past few weeks, our team has transitioned away from the high-energy adrenaline of the school hall at SMJK Catholic into the quiet, meticulous space of analysis, reporting, and documentation. Moving from the Planning Phase, through the Venue Confirmation hurdles, into the dynamic Execution Day, and now arriving at the Ending Phase has given me a profound appreciation for what "Social Engagement" truly means. It is not just about showing up for a single day of impact; it is about ensuring that the impact is captured, measurable, and sustainable.

The Post-Event Reality: Reporting and Documentation

As the Project Secretary, the completion of the physical workshop marked the beginning of another intensive phase: finalizing our Laporan Projek (Project Report) and archiving our updated Kertas Kerja (Project Proposal). Sitting down to translate our live event into structured documentation forced us to look at our results through a clear, analytical lens:

  • The Verification of Impact: Reviewing the participant feedback forms from our participants was incredibly fulfilling. We officially documented that over 80% of the students achieved the targeted increase in digital competency. Processing this data validated all the sleepless nights spent designing the 'Prompt Master', 'Deepfake Detective', and 'AI-Genius' modules.

  • Formalizing Our Lessons Learnt: Documenting our challenges wasn't just an administrative requirement; it was an exercise in growth. In the report, we formally logged our struggles with the hall's display screen and internet lag, establishing a mandatory blueprint for future teams: technical dry-runs must be completed at least one hour before start time, and offline backup materials must be ready.

  • Financial Accountability: We finalized our financial statements, ensuring every resource used aligned perfectly with our initial planning, demonstrating transparent stewardship of our project resources.

Personal Reflections and Insights

This entire journey has deeply reshaped how I view my major in Computer Science (Data Science). Before this project, I viewed AI through a highly technical framework of mathematics, code, and optimization models. Today, I look at AI through the lens of community responsibility.

The transition from a student sitting in a lecture to a coordinator managing communication between our Director, Lim Jie Shin, the school administration, and our target audience taught me real-world adaptability. When we faced a month-long delay for JPN approval at our first venue choice, we didn't panic; we adjusted our course and secured SMJK Catholic. When the tech failed on execution day, we pivoted. I learned that true leadership isn't about everything going perfectly; it is about how effectively you navigate the imperfections.

Seeing nearly 200 Form 2 students transition from treating AI as an intimidating "magic trick" to using it as a practical, logical "co-pilot" has been the highlight of my first year at University Malaya.

Final Project Status

With all digital signatures collected, our final project documentation status is as follows:

  • Project Proposal (Kertas Kerja): Fully archived as a baseline module structure.

  • Final Project Report (Laporan Projek): Completed, reviewed, and submitted under the requirements of the GIG1005 Social Engagement course.

Signing Off

Our module has concluded, and our reports are filed, but the ripple effect of what we built will remain. We have left behind a blueprint for digital empowerment that can be scaled for future generations. To my incredible team and the students who embarked on this journey with us, thank you for helping turn a vision of digital literacy into a concrete reality. We are no longer just preparing for the future; we have actively begun to build it.
